Our Constitution

A-Lliteration Generation Constitution
Preamble:
“A-Lliteration Generation” is a literary student organization founded in March 2009 on the Texas A&M University - San Antonio Campus.
Article I: Name
The name of this student organization shall be known as “A-Lliteration Generation”.
Article II: Description, Mission, and Purpose
The purpose of the “A-Lliteration Generation Club” at Texas A&M - San Antonio is to provide an open, communal environment for students, community members, and faculty to appreciate and enjoy literature. To this end, the “A-Lliteration Generation Club” will meet bimonthly to discuss various books, poems, short stories, and other writings and will also host a variety of campus events to promote literacy.
Article III: Membership and Eligibility
Section 1. Eligibility
Membership in this organization will be open to any interested student meeting criteria. “A-Lliteration Generation” will not discriminate on the basis of race, color, national, or ethnic origin, religion, sex, disability, age, sexual orientation or veteran status.
Section 2: Categories of Membership
Types of membership include regular student (currently enrolled at TAMUSA), honorary student (one who is elected by the regulars members by recognition of distinguished service and contribution to the organization), alumni, and faculty. Only students who are, at least, part time enrolled at TAMUSA are eligible for voting on matters decided within the organization, hence a student organization.
Section 3. Selection Process
Application for membership will be open year round to students, honorary students, staff, and alumni. If you are a TAMUSA student, you must have a minimum GPA of 2.0.
Section 3. Attendance
Attendance to at least 50% of monthly meetings and organizational events is required.


Section 4. Removal Procedures
Any member or officer who displays any negative attitude or who undermines the activities of the organization shall be removed from the organization. A quorum of 75% must be present at the meeting and a 2/3 vote must be obtained in order to remove the individual.
Article IV– Officers

"A-Lliteration Generation" shall have four officers that include the President, Vice-President, Secretary, and Treasurer.
Section 1. President
An elected President will preside at all meetings of "A-Lliteration Generation" the President will maintain the power to appoint all committee chairpersons, shall present all motions to the body present and shall be present at 90% of the meetings of "A-Lliteration Generation"
Section 2. Vice President, Secretary, & Treasurer
"A-Lliteration Generation" shall also maintain a Vice President. The Vice President's duties shall be to preside at all meetings and functions that the President cannot attend.
Club members shall also elect a Secretary to record notes at meetings, new members, assist with voting, and a Treasurer who will handle all dues, accounts, and financial matters. Both will rule observances at stated meetings, protocol, etc.
Section 3. Election and Term

All officers shall be elected by a majority vote of eligible voting members of "A-Lliteration Generation." All elections will be held on an annual basis during the month of September, and/or as the organization sees fit. Each officer will serve for precisely one-year academic term.
The President will take nominations from the floor, the nomination process must be closed and the movement seconded. The nominated parties will be allowed to vote.
All voting shall be done by secret ballot to be collected and tabulated by the Secretary-Treasurer and one voting member of "A-Lliteration Generation" appointed by the outgoing President.
Clause: If an officer is on the verge of graduation, his/her title must be handed over to someone else if and only if he/she does not decide to return to TAMUSA within the same calendar year. If he/she is not intending on returning to TAMUSA for higher education (within the calendar year), then club members will be responsible for voting on whether he/she gets to continue his/her term. If the members decide not to allow the current officer to finish his/her term, then a new officer must be voted in one meeting prior to the graduation date of the semester.
Section 4. Grounds for Removal of officer
Officers may be impeached for failure to perform the required duties of their office, for inappropriate behavior, or for ineffective performance. The issue to impeach an officer must be brought before a general membership and be discussed at this time. Following the discussion, a meeting will be held with the officers, sponsor, and the officer in question to discuss issues brought forth by the membership. An officer may be impeached by a vote of majority of members at a regularly scheduled meeting.
Article V: Advisor’s Responsibilities
Section 1. Advisor
The A-Lliteration Generation has one advisor. The advisor must be a faculty or staff member, chosen by the members of the student organization, who identifies with the organization’s goals and shows interest in its activities.
Section 2. Advisor Role
The role and duties of the faculty/staff advisor shall include attending meetings and providing counsel to the organization's officers, along with disciplinary action as fit.
Section 3. An advisor may be asked to resign from the student organization. First, a written statement by a member or officer indicating the reasons for resignation must be submitted to the President and/or officers of A-Lliteration Generation. At a regularly scheduled meeting, the resignation of the advisor must be placed on the agenda and discussed. A vote is then taken by the membership and a majority vote of the membership passes this item. Any appeals must follow the procedures listed in the University’s Student Handbook.
Article VI- Amendments
Section 1. Amendments
The constitution is binding to all members of the "A-Lliteration Generation". But the constitution is not binding unto itself. Amendments to the constitution may be proposed in writing by any voting member of "A-Lliteration Generation" at any meeting at which 2/3 of the voting members is present. These amendments will be placed on the agenda for the next regular meeting of the executive council or other officer grouping. Proposed amendments will become effective following approval of two-thirds (2/3)-majority vote of active members.

By-Laws
Article I – Voting
Section 1. Voting Eligibility
Only regular/honorary members, and the advisor in good standing are eligible to vote. Election of officers occurs during a regularly scheduled meeting in the month of April in the Spring academic semester. Nominations for officer positions will be conducted at a regularly scheduled meeting. Within two weeks of nominations of officers, another meeting for elections must take place. A secret ballot will be used during elections. If all officers are unopposed, elections may be held on the same day of nominations with a show of hands. No member may run for office for more than one office.
Section 2. Voting Standards
A majority vote passes an item presented by the officers and members.

Article II: Meetings
Section 1. Frequency
Meetings shall be held every 1st Thursday of the month at 7:00 PM CT and every 3rd Saturday of the month at 11:00 AM CT.
Section 2. Quorum – A minimum of 50% plus 1 have to be present at the meeting for official business to be conducted.
Article III: Vacancies
Section 1. Officer Vacancy
In the event of resignation of the Vice-President, Secretary, Treasurer, and election may be held by the student organization members to fill each vacancy. The election will take place at a scheduled meeting as determined by the members of the organization.
Section 2. Presidential Vacancy
In the event that a vacancy occurs in the office of the President, his/her duties shall fall upon the Vice-President, who shall serve as President throughout the current and succeeding months until a new one is elected. The election will follow the procedures listed in Article III, Section 1 and 2 of the Constitution.


Article IV: Financial Matters
Section 1. Preparation & Authorization
The treasurer assists the president in preparing the annual budget and in financial policies and plans. Only duty-authorized persons shall handle receipts, and disbursements of all monies after the treasurer has determined that the amounts are correct. Expenditures must be authorized.
Section 2. Dues
Membership fees for A-Lliteration Generation are $10 a fiscal year.
Article V: Fund Raising
Section 1. Approval
The President, Treasurer, and the Advisor are able to approve fund-raising expenditures.
Section 2. Financial Responsibility of Fund Raising
The sponsors and officers are responsible for ensuring that the expenditures of funds are justified, that accurate record keeping of all accounts in undertaken, and that expenditures are authorized within minutes of the meetings, showing the vote of the membership.
Article VII: Ethical Code of Conduct
Section 1. The Code of Conduct is as Follows:
No member shall misrepresent the truth while acting in his/her capacity as a TAMUSA A-Lliteration Generation club member.
No member shall bestow favors, cake undue use of influence or power as members, or offer special considerations of any kind in exchange for anything of values. No member shall misuse, mismanage, or misappropriate the equipment, facilities, or funds of A-Lliteration Generation.
o Each member must make a responsible attempt to fulfill his/her responsibilities to the best of his/her abilities.
o Each member must discharge his/her duties in good faith.
o Each member must conduct himself/herself professionally at all official functions, gatherings, and at all meetings. No member shall at any time publicly criticize and/or harass another member.

Section 2. Introduction of Ethical Code of Conduct
The Ethical Code of Conduct is read from the constitution at the beginning of the first regularly schedules meeting in the Fall and Spring Semester, as well as upon an amendment.
Article VIII: Process for the Termination of Membership
Section 1. Grounds for Termination
Members may be asked to leave A-Lliteration Generation for the following reasons: The individual did not follow the Ethical Code of Conduct, has remained inactive, etc.
Section 2. Termination Process
The issue to terminate a member from the organization must be brought before a general membership and discussed at a regularly scheduled meeting. Following the discussion, a meeting will be held with the officers, advisor, and the member in question to discuss the issues brought forth by the membership. After the meetings have taken place, the topic of membership termination must be places on the agenda of the next regularly scheduled meeting and voted upon membership.

Meeting Notes from September 19, 2009

Fellow Scholars,

That's right, results the day OF the meeting!

Lots of great discussion during today's meeting. We are excited and moving forward with the semester! :)

1. The Constitution has been updated, and will be available for view at our next meeting. Also, the Ethics Code of Conduct will be read at the next meeting as stated in the Constitution. (Don't worry, it's not long)

2. Participation in the Positive Beginnings, Inc. Bazaar is a go, full throttle! It is set for Saturday, October 3, 2009 from 9am-3pm. Please consult with myself, Alisa, Bev, or Frank to sign up for shift times, so that there is always someone there between those hours. Take a count/list of how many and what type of items you have. On October 1st's meeting, Alisa and Beverly will give you pricing stickers to place on your items, this way you won't have to mess with tagging everything the morning of the sale. If you have items that you would like to contribute to the sale, please hang on to them and bring them the morning of the sale @8:00 am (The reason we are asking to you hang onto them for now is due to lack of storage space.)

3. We were picked by a lottery to be the first to sign up for a Fall Fest booth! YAY!!!! This means we have first pick on what we sell and we are hopeful that this will be a fun and profitable experience! At today's meeting we all put our heads together and came out with a really neat idea: Our booth theme will be Fall/Harvest to be decorated in a harvest-y fashion! We are applying to sell ROASTED CORN, PUMPKIN PIE (by the slice), & HOT CRANBERRY GOODNESS! (cranberry juice). We will be the first to turn in our application, so hopefully this means a speedy approval. Once this happens, I will release a list of supplies that we will need for that day. We will need A LOT of help, so please get involved and bring your friends and family! More than likely, we will do 2 hr shift times, and it will be important to be there if you commit. If you cannot commit to the day, please try to help us recruit donations for this event. Again, the Fall Fest is on Saturday, November 7th, and is looking to be rather big due to our increased enrollment at TAMUSA! :D

Next meeting date is set for Thursday, October 1st at 7pm in the Student Center! Hope to see ya'll there!!! :D

Meeting Thursday September 3, 2009!

Just a friendly reminder about our Thursday evening meeting! We will meet at 7pm in the Student Center. Those of you who have volunteered to bring snacks and refreshments, please try to be there about 15min early so we can set up. I'm looking forward to this meeting and welcoming new faces. :) If you didn't receive fliers for Thursday's meeting spread the word anyways! :D It's going to be a good time! One of our fellow scholars will be presenting a poem and we will have fun with it!

*We will be collecting $10 dues from EVERYONE as we voted in our last meeting to collect dues every new fiscal year. There will be a receipt book available so that we can keep track.

A Note from la Presidenta

A-Lliteration Generation has been given the opportunity to have a shift at PacFest (Next Thursday April 23rd)! It will be a four hour shift, however I'm not sure on the time yet. I should know by tomorrow. We will be selling Cascarones! YAY!!!! Whatever profit we make during our shift goes straight to our organization! :D

Therefore, at this Saturday's meeting, we will multi-task! I am asking everyone to bring as many empty egg shells as you can! Save the ones you use for breakfast, or ask around...someone is bound to have some...If we need to purchase them, Anna Gonzales knows where we can get some as well for a low price. I will take the ones I have been saving. I'm also taking some cups, posters, markers, & tissue (I have plenty of tissue paper) ...if anyone can take the following, please let me know:

Egg coloring kits (they are probably on clearance all week!)
Cups (for coloring eggs)
Vinegar (we need very little)
Confetti (5-8? bags)
Snack size ziplock bags (we will need a box or two)
Newspaper
Paper Towels
Glue
Cardboard boxes
(if you can think of anything else, let's do it!)

By Saturday I will have our shift time, so everyone can sign up to help. If you are unable to help at the festival, please try to help us on Saturday or vise versa. Dues & T-shirt money will be collected on Saturday as well. The total for a t-shirt will be $10 (to Alisa Reynolds). If we need to order more, we will. Hope everyone has a great week!

Shirts are Ordered!!

Nicole and I went to Brad at Body Lingo and we ordered 24 shirts.

Since they were a little more expensive than we had thought, we have decided to sell them for $10 a shirt or $12.00 for 2XL or 3XL. We ordered all the sizes for everyone that requested one.

Once I receive back the initial amount of what it costs, we will print more.

I would like to be the first to say that I am EXTREMELY impressed with our shirt design and we will have them ready for people April 21st.
